How can I borrow materials?
Library materials for home use are checked out at the Circulation Desk. You must present a current Willamette University ID card.
May I let someone else borrow my ID card?
ID cards are non-transferable. Since the card is in your name, you will be responsible for any fines and/or replacement charges for materials borrowed with your ID card.
How long may I keep materials?
In most cases, books and government documents may be borrowed for 30 days for undergraduate students and the whole semester for graduate students. Children's literature books, video tapes, dvds and sound recordings may be checked out for seven days. Materials which may not be checked out include reference books, journals, audiovisual equipment and materials in special collections.
What if I need to keep an item longer?
An item may be renewed if it has not been requested by another patron and if it is not needed for course reserve. There are two ways to renew materials. You can renew materials online through your library account, or you can bring items in for renewal. Materials may not be renewed over the phone. Materials can only be renewed one time online.
What if the item I want is not on the shelf?
If you do not find the book you want on the shelf, you may initiate a search at the Circulation Desk. You will be notified via campus mail or e-mail if the book is located or replaced.
What if the item I want is on loan?
If an item you want is checked out, we encourage you to request the item through Summit. It is generally available to you faster than if you recall it from another patron. If it is not available through Summit, you may request a hold on the Willamette item, or request that it be recalled and held for you. Any item is eligible for recall after it has circulated for 3-14 days. Ask at the Circulation Desk for more details on the recall policy. When the item arrives from Summit or is returned, you will be notified by campus mail or e-mail that it is now available. Items will be held for you at the Circulation Desk for seven days.
What if an item I have is needed by another patron?
Library materials which are needed for course reserve or by another patron are subject to recall. When a recall notice is issued, a new, earlier due date is automatically assigned. Fines will be levied from this new due date. If you receive a recall notice, you must return the item by the new due date or you will be subject to recall fines. Once you return the item, you may place a hold or recall on that item to reserve it when it is returned, or you may request the item through Summit.
How do I know when an item is due?
All materials have a date due slip attached to them; your date due will be stamped on this slip. The date due slip for books is located in the back of the book. You can also check the due date by viewing your library account online. As a courtesy, overdue notices are sent to you through e-mail or campus mail. Failure to receive an overdue notice, however, does not exempt you from fines owed on overdue materials. Remember that a new, earlier due date is assigned when an item is recalled.
How much will I be charged if I return an item after the due date?
Failure to return library materials by the due date will result in a fine. Fines will begin accruing on the sixth day overdue. Fines are retroactive. Overdue fines are levied in accordance with the following schedule:
- 7-day & 30-day materials:
- $.10 per day overdue/per item
- $5.00 maximum fine per item
- Recalled materials:
- $1.00 the first day, $2.00 the second day, $3.00 the third day, $4.00 the fourth day, $5.00 the fifth day and $5.00 each subsequent day. $25.00 maximum fine per item.
Report all lost materials to the Circulation Services Coordinator immediately. You are responsible for damaged, lost, or stolen items.
Fees for lost books:
- $5.00 refundable item processing fee
- $10.00 non-refundable billing fee
- Cost of the item (according to Books in Print) or an average replacement billing of $60.00, if the item is out of print.
The library will issue courtesy, overdue, recall and other notices via e-mail whenever possible. Contact the Circulation Desk to arrange to receive your notices in paper rather than e-mail format.
What if I change my address?
Please notify the Circulation Desk immediately when you change your address or phone number.
What are reserve materials and where are they located?
Faculty members may ask that selected materials be placed on reserve for their courses. The loan period is shortened to allow equitable access to these materials by all students in the course. Requests for an extension of the loan period must be approved in advance by the faculty member who placed the materials on reserve. The faculty member must supply the Circulation Desk with written notification of the request. You must present your Willamette University ID card to borrow reserve materials. Reserve materials are housed behind the Circulation Desk.
What are the fines for reserve materials?
- 1-hour, 2-hour & 4-hour check out periods:
- $.50 per item/per hour
- $25.00 maximum fine per item
- 1-day, 3-day & 5-day check out periods:
- $.50 per item/per day
- $25.00 maximum fine per item
Items ordered through Summit or Interlibrary Loan materials may be picked up at the Circulation Desk. For more information, see the Summit Automated Borrowing and the Interlibrary Loan brochures.
